How to Use Cheqbook Accounting Software for Invoicing

Cheqbook is a specially designed type of accounting software that uses cloud accounting techniques, also referred to as “software as a service.” It is specifically designed with small and medium-sized businesses in mind. The benefit of a cloud-based system is that you can access it from nearly any computer in the world with an active Internet connection. You don’t need to download and install software on your computer to take advantage of everything that the service has to offer. Instead, just open your Web browser like you would if you were visiting any other website and log into your account using your user name and password.

Pay and Manage Invoices with Cheqbook

Step 1

Login to your secure Cheqbook account using the user name and password that you selected when you signed up for the service. Always keep your user name and password heavily guarded and only give it to individuals who you explicitly trust with that type of information. Remember that your Cheqbook account has all information pertaining to the financial resources of your business, so don’t hand out access to that kind of data to just anyone.


Step 2

Select the company that you want to send the invoice to from the list of organizations that you work with in the main window on screen. Doing so will make sure that your copy of the invoice goes to the right location in your files so that you can easily access it in the future.


Step 3

Click the option labeled “Customer Invoices.” When the new page loads, click the button labeled “Create Invoice.” A new blank invoice template will appear in your main browser window. Fill out all of the boxes on screen with relevant information pertaining to the invoice you are trying to send. Remember that the information you enter will be exactly what the customer receives, so be as accurate as possible.


Step 4

When you’re finished, click the option labeled “Create Invoice.” Your new invoice will be created and you will have a few different options with regards to how to proceed based on your preferences.


Step 5

If you want to send the invoice to the customer by email, click the option labeled “Email” in the main portion of the window on screen. Enter the email address of the intended recipient as well as a subject and message, similar to the steps you would take if you were sending a regular email. It is a good idea to include information about the purpose of the invoice in the subject box. You can also click the appropriately labeled box on screen if you want to send a copy of the invoice to yourself. Once you’re finished entering all of the necessary information, click the button labeled “Send.” Keep in mind that not all customers may wish to receive an electronic invoice, so always be sure to ask for permission before you send. You’ll also want to check with the individual beforehand to make sure that you have all of the accurate contact information required to do so.


Step 6

If you want to send the invoice using the postal service, click the option labeled “Print (PDF)” in the window on screen. Doing so will generate a new Adobe PDF file using the invoice information which will then be printed out using a printer attached to your computer. You will be required to select the appropriate printer before the job can proceed. Once you’ve printed the document, send the invoice using the postal service. Once you have confirmed that the invoice has been sent successfully, return to your Cheqbook account and click the button labeled “Mark as Sent” in the window on screen. Doing so will allow you to verify in your records that the invoice has been sent to the customer and that you should be expecting the associated payment shortly.

By using online invoicing software and accounting software for invoicing in general, you are taking one large step towards making sure that your important financial information is always as accurate as possible. You also won’t need to worry about downloading and installing new software or always being in front of one lone computer if you ever need to make adjustments or check your books for information.
